New Employee Orientation – Frequently Asked Questions

Visit uhr.umd.edu/events to register for New Employee Orientation. Day One is offered on a monthly basis, typically on the first Monday of each month. Day Two is a follow-up session that is offered quarterly, in January, April, July, and October.

All employees need to complete

– The I-9 form (don’t forget required forms of identification)
– W-4 and state tax forms
– Direct deposit form
– Retirement enrollment form (due on or before your first day of work)

Start by reviewing the Saving for Retirement information on UHR’s website. Should you have questions or need additional guidance, contact the Benefits team at mybenefits@umd.edu or 301-405-7575 for assistance. Please note that once you have enrolled in either the State Retirement and Pension System or the Optional Retirement Program, you will not be able to switch your selection later on.

Parking information, maps, and details about obtaining a permit may be found at transportation.umd.edu/parking. Your department’s transportation coordinator can assist you with obtaining your permit and knowing where to park your vehicle.

Your Directory ID is generated when your department creates your record in the university’s employment database (PHR). You can obtain your Directory ID by verifying your identity at this link. Your Directory ID will also form the beginning of your university email address. Your Directory ID and password will serve as your access credentials for many UMD systems.

All employees of the university must have a UMD email address, following the directoryid@umd.edu format. All email sent by UMD employees related to UMD business must be sent using an approved UMD email address and system, for security reasons. More information about this policy and use of email at UMD can be found here.

Your University ID (UID) is a 9-digit number generated when your department creates your record in the university’s employment database (PHR). You can obtain your UID by verifying your identity at this link. Your UID is an identification number used to access your university accounts and records, without having to rely on your social security number or other sensitive personal information.


 

You can access your timesheet by visiting ARES and then selecting “PHR Time Entry/Faculty Leave” from the Quick Links menu on the right. Select the pay period from the drop-down menu, and then click on the “Complete Your Time/Leave Record” under the “Employees” menu. For assistance completing and signing off on your timesheet, please contact your supervisor or HR representative.
