I-9 and E-Verify System

Federal law requires the verification of identity and employment authorization of all individuals hired for employment in the United States with the Form I-9 and includes citizens and noncitizens.  Additionally, employers with federal contracts or subcontracts that contain the Federal Acquisition Regulation (FAR) E-Verify clause are required to confirm the eligibility of the employee to work in the United States.  The university meets these requirements through the use of I-9 Complete, a web-based application.

I-9 Complete provides a uniform process and secure central repository for documents needed in verification of identity, employment authorization and employment eligibility in the United States.

Form I-9 & E-Verify FAQ

A new function that allows the addition of an employer representative after completing Section 2 has been added by the Tracker I-9 vendor.  The use of an employer representative to conduct in-person document inspection is advised, and instructions on how to complete this process are below.  

Please note:

  • It is advised that new Form I-9 records be created using the remote employer representative option to complete Section 2. 
  • I-9 Creators can identify records created during the regulation flexibility period using the “COVID-19 I-9 Records” report in Tracker.
  • An audit note is required stating “Document Viewed in Person” when the in-person inspection is complete.

Summary: Identify a remote employer representative to complete a Remote Section 2 Amendment. The employer representative and employee will need to coordinate a face-to-face meeting to complete the in-person physical document inspection.  The employer representative must be an adult.  For instructions and process click here.

It is located in the URL (browser) of the profile page.  It is about 7 digits at this time but the number will continue to grow as more and more people are added to the system.  *** The I-9 ID is not the Profile ID***

A Historical I-9 is a paper I-9 form that was completed prior to the implementation of the online system thereby; the information from the paper I-9 is entered into the electronic system with the same information.  ****Please see the link above with the information and checklist on what is a historical I-9 and how to complete one.

Yes, this training is additional to the training that you have already received through in person or online training. In order to use the E-verify feature you will need to complete the training in the system and receive a score of 70% or higher. The system will not allow you to E-verify if you have not taken the training.

After logging into the system if you look in the top right hand corner you will see a magnifying glass, which you can click on, and then type in the last name and search. The name should pop up, you should click on it twice, and it will take you to the profile page.

There is not a direct link for the employee to log into the system.  The I-9 user will need to create a profile and then choose to create an I-9 and send section 1 remotely by providing the start date and email address  of the employee. The employee will then receive an email to complete Section 1 of the form I-9.
